Personal Assistant/Office Manager

Position Overview:

GLG is currently seeking an enthusiastic, detail-oriented and responsible Personal Assistant/Office Manager to support the Sydney office. 

Responsibilities: 

  • Calendar management and associated tasks such as marking schedules, booking conference rooms, set up videoconferencing etc.
  • Coordinate internal and external meetings, teleconferencing, videoconferencing and prepare meeting materials
  • Screen phone/email enquiries and requests and handle as appropriate
  • Responsible for travel arrangement, hotel accommodation, travel planning, visa applications and expenses reimbursements
  • Filing, invoicing and related record-keeping
  • Data entry, scanning documents and clerical work
  • Consolidate data and prepare monthly reports
  • Ordering office supplies
  • Liaising with building management
  • Co-ordination of ad-hoc duties e.g. IT outages
  • Other ad hoc duties as assigned
  • Work with other assistant across APAC
  • PA duties to Country Manager

Requirements:

  • Bachelor’s Degree preferred
  • Minimum three years experiences working in MNC in an administration capacity, as a Personal Assistant/PA or Office Manager
  • Excellent interpersonal and communication skills, including demonstrated proficiency in oral, writing and presentation abilities in a business-focused setting
  • Excellent word processing and IT skills including MS Office (Word, Excel and PowerPoint
  • Attention to detail
  • Impeccable time management & prioritization skills
  • Ability to work under pressure and to meet tight deadlines
  • High level of trustworthiness
  • Proactive, team player, professional, responsible
